Complete Walkthrough: Everything You Can Do on the Gabble Business Portal

If you've just signed up for Gabble Business and aren't sure where to start — this guide is for you. We'll walk through every page in the portal, explain what it does, and show you exactly how to use it.

First time here? Your account starts with 20 free credits so you can explore the platform and try things out before purchasing a bundle.


Getting Your Portal Ready — Recommended Order

If you're setting up for the first time, follow this order and you'll have your portal live in under an hour:

  1. Branding — upload your logo and set your brand colour
  2. Custom Domain (optional) — configure your domain while DNS propagates in the background
  3. Buy Credits — purchase a credit bundle based on your student count
  4. Add Students — add individually or bulk import via CSV

The sections below walk through every page in the portal in detail.


1. Dashboard

The Dashboard is the first page you see after logging in. It gives you a live snapshot of your account at a glance.

What you'll find here:

  • Credit Balance — how many credits are currently in your pool, with a shortcut to buy more
  • Total Students — the total number of students you've added
  • Active Students — students whose access hasn't expired yet

Below the stats, you'll see your Account Status — your business name, verified email, default subdomain (e.g. [subdomain].gabble.ai), custom domain status, and branding configuration.

On the right side is a Quick Actions panel with one-click buttons to add a student or buy credits, and a Recent Transactions table showing your last few credit purchases.

If you see a warning banner saying your contact email isn't set, head to Settings and add it. Students see this email when they need to reach you.


2. Branding

The Branding page lets you customise how your student portal looks. Students never see "Gabble" — they see your institute's identity.

Logo

Upload your institute's logo (recommended size: 300×100px, max 500KB). This appears in the navigation bar of the student portal. Supported formats: PNG, JPG, SVG, WebP.

If no logo is uploaded, your business name is displayed as text in its place — so the portal always looks presentable even before you've set up branding.

Favicon

Upload a favicon (recommended size: 32×32px or 64×64px). This is the small icon that appears in the browser tab when a student has your portal open.

Brand Colour

Pick your primary brand colour using the colour picker or by entering a hex code directly. This colour is applied to buttons, highlights, and interactive elements throughout the student portal. If no colour is set, the portal defaults to black.

There's a Preview Page button — use it to see how your colour looks on a sample page before saving. Once you're happy, click Save Colours.

Branding changes — logo, favicon, and colour — are applied live across the student portal within 5 minutes of saving. No action is needed from your students.


3. Custom Domain (Optional)

By default, your student portal is already live and accessible at your allocated subdomain — [subdomain].gabble.ai — shown at the top of this page. You don't need to do anything for this to work. When you add a student, the invite email they receive includes this subdomain link so they can access the portal immediately.

If you want students to access it at your own domain — like learn.yourinstitute.com — this is where you set that up.

How it works

  1. Enter your domain or subdomain (e.g. learn.yourinstitute.com) and click Add Domain
  2. Gabble gives you a CNAME record to add in your DNS provider (GoDaddy, Cloudflare, Namecheap, etc.)
  3. Add the CNAME record in your DNS settings
  4. Come back and click Verify Domain

DNS changes can take anywhere from a few minutes to 48 hours to propagate. If verification fails, wait a bit and try again. SSL is handled automatically by Gabble — you don't need to set up a certificate.

Once verified, students can access your portal at your custom domain.

4. Buy Credits

Credits are the currency of the Gabble platform. Every time a student submits a task for AI evaluation, credits are deducted from their balance (which comes from your pool).

How Credits Work

Credits are only required for speaking and writing analysis. One speaking and writing exercise will require 1 credit each. No credits are required for reading and listening. A detailed breakdown by task type is available on the Buy Credits page.

Purchasing Credits

Choose your currency — USD (via Stripe) for international payments or INR (via Razorpay) for India. Select a credit bundle and click Buy Now. You'll be taken to a secure checkout page.

Credits are added to your balance immediately after payment is confirmed. They never expire, so there's no rush to use them.

Credits in your pool are also never lost when a student's access ends. If a student hasn't used all their allocated credits, you can reclaim those credits back into your pool from the Student Data page using the Reclaim Expired Credits button — so unused credits are always recoverable.

A typical student doing moderate practice needs around 150–200 credits. A heavy user going through full mock tests may need 250–300. Start conservatively — you can always top up.


5. Add Students

This is where you enrol students into your portal. There are two modes — single and bulk — and you can switch between them at the top of the page.

Adding a Single Student

Fill in:

  • Email address — the student's login email
  • Credits to allot — how many credits this student gets (pre-filled from your default in Settings)
  • Access duration — how many months the student can access the portal (also pre-filled from your default)

Hit Add Student. The student receives an email invitation with a link to set their password and log in.

Bulk Import via CSV

If you're adding many students at once, switch to Bulk mode. You can either:

  • Paste a list of email addresses directly (one per line), or
  • Upload a CSV file with columns for name and email

Set the credits and access duration that will apply to all students in the batch, then click Import. You'll see a summary of how many were successfully added and any emails that failed (e.g. already registered, invalid format).

The credit cost is shown live as you adjust the number of students and credits — so you always know what you're spending before you confirm.


6. Student Data

This page shows every student you've added, with filters and management tools. You'll use this page regularly once students are active.

What you can do here:

  • Search by name or email to find a specific student
  • Filter by status — All, Active, or Expired
  • View each student's credit balance, access expiry date, and usage
  • Add Credits to a student who is running low
  • Remove Credits if you need to reclaim them
  • Extend Access to give a student more time
  • Remove a Student entirely from your portal

At the top of the page, there's a Reclaim Expired Credits button. This sweeps through all expired students and returns their unused credits to your pool in one click — so nothing goes to waste.


7. Settings

The Settings page is where you manage your account details and set defaults that apply every time you add a student.

Business Name

Update your institute's display name. This appears on the student portal and in emails sent to students.

Email Address

Change the email you use to log in to the Business Portal. You'll need to enter your current password to confirm the change.

Contact Information

Set a contact email and contact phone number that students can use to reach your institute. These are displayed on the student portal's support or contact section.

If your contact email isn't set, you'll see a warning banner on the Dashboard. Otherwise, students will see your login email as a default contact email.

Default Credits Per Student

Set the number of credits that pre-fills automatically when you add a new student. You can always override it per student — this just saves you time. Maximum is 500 credits.

Default Access Duration

Set the default number of months of access when adding a student (1–24 months). Like the credits default, this pre-fills when adding students and can be overridden individually.

Change Password

Update your login password. Your new password must be at least 8 characters and include uppercase, lowercase, a number, and a special character.


8. Support

If you run into an issue or have a question, the Support page lets you send a message directly to the Gabble team without leaving the portal.

Select a topic from the dropdown — Billing & Payments, Student Management, Custom Domain Setup, Branding, Technical Issue, Account & Login, or Other — write your message, and hit Send Message. We typically respond within 24 hours.
